Dormant Mailbox Policy Print

A mailbox is deemed dormant if it has not been logged in to for a period of 3 months, or a mailbox which is has been full for over 14 days thereby causing a backlog of emails to be stuck in the inbound mail queue for delivery. This can cause performance problems including increased server load and delays processing legitimate email.

The most common causes of these issues are:
  • Mailboxes not being deleted or forwarded when members of staff are no longer with a company
  • Abandoned projects / domains
  • Mailboxes reaching capacity when using IMAP or remote collection from 3rd party servers (eg GMail, Yahoo)

When we become aware of a dormant mailbox, in the first instance we will contact the Account/Domain Owner to inform them of the issue and ask them to resolve it.

If after a further 7 days the issue persists, we will delete the mailbox and any queued email thereby resolving the performance issues.
