General IMAP and SMTP Server Settings

Small Business Email server settings

Use these settings when adding a Small Business Email mailbox to an email app manually. IMAP keeps your email folders synchronised with the server and your other devices.

Example domain only:

Wherever you see clientdomain.co.uk, type the domain after the @ in your own email address.

Your Small Business Email package includes a custom mail hostname and webmail URL. In this guide we will use mail.clientdomain.co.uk as a placeholder.

For example, if your email address is joebloggs@clientdomain.co.uk, your server would be mail.clientdomain.co.uk.

Before you begin

  • Your mailbox must already exist and your domain's email service must be active.
  • Have your full email address and mailbox password ready. Your mailbox password is not necessarily your Client Management Portal password.
  • If your account requires an app password for email apps, use that password instead of your normal sign-in password. Do not enter a one-time verification code in the password field.

Manual connection settings

Replace the placeholder hostname with your own mail hostname.
Setting Incoming email Outgoing email
Protocol IMAP SMTP
Server hostname (placeholder) mail.clientdomain.co.uk mail.clientdomain.co.uk
Port 993 465
Connection security SSL/TLS SSL/TLS
Username Your full email address Your full email address
Password Your mailbox password, or app password if required The same mailbox or app password
Authentication Password Required; password authentication

Some apps label SSL/TLS as SSL or Use SSL. Keep encryption enabled for both incoming and outgoing email. Enter only the hostname in a server field, without https:// or a trailing slash.

In apps that call password authentication Normal password, that label describes the login method, not an unencrypted connection. SSL/TLS must still be enabled.

Automatic discovery

Small Business Email supports automatic discovery of connection settings when your domain's discovery records are in place and the app supports them. Start with your full email address and password if the app offers automatic setup. Before finishing, check that the account uses IMAP, port 993 with SSL/TLS for incoming mail, and port 465 with SSL/TLS for outgoing mail. Edit the settings manually if necessary.

Automatic discovery can return a service hostname rather than mail. followed by your domain. This can be correct. Do not replace a recognised service hostname solely because it differs from the examples. If you do not recognise it, confirm it with support before entering your password.

Check the connection

  1. Send a message to another email address you can access.
  2. Reply from that address and check that the reply arrives.
  3. Check that sent messages appear in the server's Sent folder on your other devices.

If setup does not work

Check the full email address, password, hostname, ports and outgoing authentication. If a certificate warning appears, do not bypass it or switch off encryption. Check the hostname and your device's date and time, then contact support if the warning remains. Do not delete an existing account until any messages stored only on that device have been backed up.

For help, contact us through the Client Management Portal. Tell us the app, operating system and exact error message, but never send your password.
