Small Business Hosting Email Allowances and Restrictions

At Small Business Hosting we aim to offer you the highest quality service with a 99.9% uptime. Part of this service is dependant onto our services not being abused and causing our servers to get a bad reputation due to the abuse. Because of this we have implemented strict emailing policies to ensure that our email servers can't be abused and ultimately blacklisted. 

Below is a comprehensive list of the restrictions that we have set on our mail servers:

Email Account Password Policy
We want to ensure that all of our users email accounts are safe and secure, so therefore we have implemented an email account password policy to prevent spammers hacking accounts and sending out mass amounts of emails. When creating an email account you will need to ensure that the password for that account contains the following:

- The password must be at least 6 characters in length.
- The password must not match the username of the email account.
- The password must contain at least 1 number.
- The password must contain at least 1 non-alphanumeric symbol (such as ! @ ; ? ~ #)

By implementing this policy we are able to ensure that all of our customers are able to get the highest quality, secure, service out of our mail servers.


Maximum E-Mail Size
We have restricted the maximum size of an email to be 20mb (20480kb). This will allow you to send basic documents, such as PDF files or Word/Excel files, to colleagues or clients but if you are planning on sending files that are over 20mb in size then you will have to recommend using a file transfer service. We reommend that you use a service such as Dropbox in order to safely send files that are over the 20mb size allocation to other people.


Maximum Recipients per Message
We have restricted the maximum number of recipients there can be on 1 message to be 25. This is put in place in order to reduce the risk of accounts being used to send out SPAM email messages to other people, and in turn causing issues for other customers that use our mail server. If you are looking to send out emails to more than 25 people are any given time then you are going to be better off creating a Mailing List. We recommend Mailchimp as the service of choice for sending out bulk emails to people.


Maximum Email Inbox Size
We have set the maximum size for any given mailbox to be 2GB (2048mb). Our mailserver is here to offer standard mailboxes for our customers. If you are looking to have a mailbox that is any larger than this in size then we recommend that you use a more robust system that is designed to handle larger amounts of email traffic. We recommend that you look into our Small Business Email hosting packages where we can offer you a range of services such as Hosted Exchange, Google Apps for Work or Microsoft Office 365.


Number of sent emails per day
We have restricted the number of emails that any given email account can send per day to be 250. We have applied this restriction in order to combat spammers from gaining access to our customers email accounts and then sending out endless waves of SPAM mail to external addresses, which would effect other users on our mail server due to the reuptation of the server being affected.


Compromised Email Accounts
If an email account becomes compromised by a spammer / hacker then Small Business Hosting reserves the right to change and update that users password without notifying the user of the change. We put this policy in place in order to ensure that our mail server does not get a bad reputation with blacklists and other mail server which in turn would cause issues with mail delivery. If we do have to change passwords we will contact the account holders via our ticketing system and provide links to knowledgebase article showing you how to update your password after it has been changed.
